Linking Booking Types to Providers

At least one Provider is required to exist within Care Cloud to be able to successfully Roster Employees.

To access the Providers page and link booking types:

  1. Navigate to Staff > Staff > Providers. The 'Providers' page is displayed showing a list of all the Providers set up within your system.
  2. Select the Provider record to see more details. The 'Provider' page is displayed:
  1. Select the Details tab to see more details.
It is important the information contained within the Details tab is accurate and up to date.
  1. Within the General section, the Enable Scheduling field is set to Yes to be able to make any bookings for the Provider.

It is only possible to configure a Provider to have Enable Scheduling set to Yes when it does not have the Parent Provider field populated. This ensures the organisation hierarchy is valid and bookings are allocated to the correct level i.e. at the Parent Provider level. The following dialog appears when you Enable Scheduling for the Provider with the Parent Provider field populated.

  1. If Enable Scheduling is set to Yes, a section called Scheduling Booking Types will appear at the bottom of the page:
  2. The Scheduling Booking Types grid links the Provider to the Booking Types. It will not be possible to create bookings to a Provider unless the Booking Types are linked here.


Linking an Individual Booking Type to a Provider

 To add an individual Booking Type to the Provider:

  1. Select the Create new record button in the Scheduling Booking Types grid. The 'Scheduling Booking Type: New' page is displayed:
  1. Select the Booking Type using the drop-down or use the Lookup Booking Type magnifying glass to find the required booking type.
  1. If you would like this to be the Default Booking Type select Yes. By default, this is set to No.
Only a single Booking Type can be assigned as the default Booking Type for the Provider.

If the Default Booking Type? radio button is set to Yes, when a booking is added for this Provider, the Booking Type is defaulted to this value. However, the Booking Type value can still be changed for a different type within the booking dialog. If there are multiple Booking Types enabled for the Provider and one of them is defaulted to Yes, the following warning dialog will appear when another Booking Type is being marked as a default value.

  1. Select the Save or Save and Close button.



Linking Multiple Booking Types to a Provider

To add multiple Booking Types to the Provider:

  1. Select the Add Multiple button in the Scheduling Booking Types grid. The 'Booking Types: Enter your search criteria' dialog is displayed:
  1. Select the Booking Type using the checkbox.
  1. Select the Add Records button.
  1. Select the OK button to finish.

If a Booking Type is already linked to the Provider, the following warning dialog will appear:
