Suspending Employment Contracts

Employment Contracts are created on the System User record. Multiple contracts can be created for the Staff member, and these can be suspended or ended as required. The below diagram shows the basic flow of Employment Contracts from creation to end date:

Sometimes it is necessary to suspend an Employment Contract. This can be done in one of two ways.

Via the Employment Contract

  1. Open the Employment Contract record in the usual way.
  2. Select the Suspend button on the toolbar.

  1. This will launch the 'System User Suspension: New' screen. 

  1. Complete the fields on the page, and select Save or Save and Close.

Via Employment > Suspensions Menu

It's also possible to manually add Suspensions from the Employment menu:

  1. Open the System User record in the usual way.
  2. Select Menu > Employment > Suspensions.

  1. Select the Create new record button on the toolbar.

  1. Complete the fields on the page, and select Save or Save and Close.

If you receive the following error, you will need to reallocate the Diary bookings to available staff. See the Managing Diary Bookings article for more information.

A Suspensions record can be created to cover multiple contracts at once. Affected contracts are automatically updated to (and remain in) a Suspended status within the Suspension's date range.

An aggregated Employment Status is displayed on the System User record:

This is calculated based on the statuses of all the staff member's Employment Contracts, using the following rules:

  • Not started: All contracts have current status of 'Not started' (or the System User has no linked contracts).
  • Active: At least 1 contract with current status of 'Active'.
  • Suspended: All contracts with current status of 'Suspended'.
  • Ended: All contracts with current status of 'Ended'.
