Creating an Open-ended Absence

An Open-ended Absence is an absence type in which an end date has not been specified. For example, an Employee may be off work for an unknown period of time due to illness.

The system will only allow you to add one Active Open-ended Absence (i.e. an absence without an End Date provided).

In order to create the Open-ended Absence, the System User must have an active Employment Contract and a Provider must have correctly configured the Booking Type.

To add a new Open-ended Absence:

  1. Navigate to Settings > Security > System Users.
  2. Open the System User record for whom you want to create the Open-ended Absence.
  3. Select Menu > Employment > Absences.
  4. Select the Create new record button on the toolbar. The 'Open-ended Absence: New' page is displayed:

  1. Complete the fields on the page, mandatory fields are marked with a red asterisk *.

Field

Description

Staff*

This will show the System User name.

Contract*

Select the Employment Contract of the Staff member.

Location / Provider*

The location / provider that will be affected by this absence.

Booking Type*

Select the booking type for which this absence is attached.

The Booking Type used will have the following settings:

  • Booking Type Class = Booking (to internal non-care booking e.g. annual leave, training)
  • The Staff - Non-Contact Time section contains the field: Open-Ended Absence Allowed = Yes.

Start Date And Time*

Select when the open-ended absence begins.

Comments

Add some notes if necessary.

Inactive

This field is used to cancel (deactivate) the Open-ended Absence; for example, if it was created in error.

  1. Select the Save button.

If the System User has future Bookings in the Diary with a Booking Type Class other than 'Booking (to internal non-care booking)', these bookings will be automatically deallocated from the System User:

  1. Select the Deallocate button.

  1. Select the Close button.

If the System User has future Bookings Type Class 'Booking (to internal non-care booking)' already planned, it will be possible to create the new Open-ended Absence after the last one. The Open-ended Absence can't overlap with the Bookings Type Class 4. The system suggests the correct time.

When the System User has an Active Open-ended Absence without the End Date, information about this is displayed on the banner in the System User record.
