Moving a Team to a Different Business Unit

In this article we are going to show you how to move a Team to a different Business Unit.

Only users with the Security Profile of System Administrator can move a Team to a different Business Unit.

Approved Team move changes will be processed by a scheduled nightly job to minimise impact on the system. This will move any associated records and update the relevant related fields.



Creating the Trigger

You can create the trigger to run the scheduled nightly job in the following way:

  1. Navigate to Settings > Security > Teams. The 'Teams' page is displayed.
  2. Select the Team from the list to open the record. The 'Team' page is displayed:
  1. Select the Change Business Unit button. The 'Change Team Business Unit Trigger: New' dialog is displayed:

  1. Select the new Business Unit.
  2. Select what to do with Existing Records, you will have the following options
    1. Move to another team.
    2. Move with team.
  3. The Status of the Team must be set to Approved for the scheduled job to process the moving of the record(s). This can be set now or at a later stage via the 'Change Team Business Unit Triggers' page.



Managing the Trigger

Once the above steps have been completed, you can now find the trigger in the following way:

  1. Navigate to Settings > Configuration > System Management. The 'System Management' page is displayed:
  1. Select Change Team Business Unit Triggers. The 'Change Team Business Unit Triggers' page is displayed:

The page displays the trigger records along with their status of either:

  • Draft - Team move has not been approved yet and will be ignored by the job.
  • Approved - Team move has been approved and will be processed by the job when it runs.
  • Processed - The job has run, and the team and its associated data has been moved.
The job to process the Change Team Business Unit Triggers is pre-configured to run nightly. Any records with a Status of Approved will be processed each night; users will not see the change across the system until this job has been processed. The job can be ran ad-hoc but we strongly recommend waiting for the overnight job as many records could be moved and this can impact performance.
  1. Select a record with a status of Processed. This shows a log of the records that have been moved:
