How to Create a Provider

This article shows you how to create a Provider in the system.

Providers are where care takes places, i.e. the Establishment, or where the funding is provided from, i.e. the Funder.

To access and configure a Provider record:

  1. Navigate to Staff > Staff > Providers. The 'Providers' page is displayed.
  2. Select the Create new record button on the toolbar. The 'Provider: New' page is displayed.
  3. Enter a Name in the field provided.
  4. Select the Provider Type. The following options are available:

Citizen's Advice

Provides free, confidential, and impartial advice on issues like debt, housing, and consumer rights.

Agency

Specialist Nursing Agency Ltd.

Supplies temporary or permanent healthcare staff (e.g., nurses, care assistants) to hospitals or care homes.

Clinic/Surgery/Practice

Community Podiatry Clinic

A facility focused on specific, non-emergency care, such as foot health or physiotherapy.

Combined Residential and Domiciliary Care

The Old Mill Care Home & At-Home Services

An organisation that operates a physical care home and provides care services to people in their own homes.

Domiciliary Care

Helping Hand Home Care

Provides care services in the service user's home (e.g., personal care, medication prompting).

Education Establishment

University Medical School

An institution focused on teaching and academic research, such as training future doctors or nurses.

GP Practice

St. James's General Practice

A local centre where General Practitioners (GPs) offer primary healthcare services (the first point of contact for most health needs).

Hospital

Royal City Teaching Hospital

A large institution providing a full range of medical services, including emergency care, surgery, and specialist inpatient treatment.

Integrated Care Boards

Wessex Integrated Care Board (ICB)

A statutory body responsible for planning, commissioning, and integrating healthcare services across a specific geographical area in England.

Local Authority

City Council Adult Social Services

A department of the local government responsible for assessing and providing social care for adults and children in their area.

Master Organisation

A national Chain of Private Hospitals PLC

A corporate entity that owns and operates multiple subsidiary hospitals or care facilities under its umbrella.

Other

Ambulance Service Trust

Organisations that provide vital services but don't fit into the typical clinical/residential categories, often operating under emergency services.

Partner

A Volunteer Befriending Service (Working with Social Services)

A non-statutory body or charity that works alongside a main provider (like a Local Authority) to deliver part of the overall care package.

Residential Establishment

Willow Tree Nursing Home

Provides accommodation and care for people who cannot live independently, requiring 24-hour support on-site.

Training Provider

Health & Social Care Skills Academy

An organisation specialising in delivering mandatory training and professional development courses (e.g., first aid, manual handling) to care staff.

  1. Select the Responsible Team if different (this defaults to your Default Team which is visible on the top main menu).
  2. If you want to set this Provider up for Rostering and Finance, select Yes for the Enable Scheduling field.

It is ONLY possible to set Enabled Scheduling to Yes if the Parent Provider field is not populated, i.e. the Provider you are setting up does not have a Parent Provider. This ensures the organisational hierarchy is valid and bookings are allocated to the correct level.

The following dialog appears when the Parent Provider field is populated and Enable Scheduling is set to Yes.

  1. Complete the remaining fields on the page (mandatory fields are marked with a red asterisk *).
  2. Select the Save or Save and Close button on the toolbar.
