Compatibility

As providers strive to be more person-centred, Care Cloud provides tools to improve matching between people they support and employees. Care Cloud utilises a series of tools - including compatibility, preference, number of visits and distance - to find the best fit.
This article details how to set up, use and understand the Compatibility feature for both the Person We Support and the Rostered Employee.
Configuration
A System Administrator for a provider can set the number of days the system looks back to capture the number of completed visits to the supported people. This is done by navigating to Settings > Configuration > System Management > System Settings > CompletedStaffBookingLookbackPeriod and updating the Value with the number of days.
Person Compatibility
A person’s compatibility information can be found by navigating to Workplace > My Work > People > open a Person record > Menu > Related Items > Compatibility.
Two panels are displayed; one for Rostered Employee and the other for People We Support that shared a booking experience.
The information collected in Compatibility plays a role in the booking windows as you look at available staff to find the best match for the person. The system will display both the number of previous visits and the compatibility rating assigned.
The Rostered Employee panel contains the following fields:
- Rostered Employee – lists the Rostered Employees who have completed bookings with the selected person.
- Role – Identifies the role or job the Rostered Employee had during a booking.
- Completed Bookings – Displays the number of visits completed with a Rostered Employee (for the timeframe specified in configuration). If the Lookback period was 180 days, the system will display completed bookings for the last 180 days (see section Configuration above).
- Compatibility – Displays the compatibility rating set by a user in the Rostered Employee to Person We Support Compatibility window (see section Rostered Employee to Person We Support Compatibility below).
- Notes – Displays the notes added with the Rostered Employee to Person We Support Compatibility window.
The People We Support panel contains the following fields:
- Person We Support – lists the people who have shared bookings with the selected person.
- Completed Bookings – displays the number of visits completed during a shared booking with a person (for the timeframe specified in configuration). If the Lookback period was 180 days, the system will display completed bookings for the last 180 days (see section Configuration above).
- Compatibility - displays the compatibility rating set by a user in the Rostered Employee to Person We Support Compatibility window (see section Person - Compatibility section below).
- Notes - Displays the notes added with the Rostered Employee to Person We Support Compatibility window.
Rostered Employee to Person We Support Compatibility
To enter a compatibility rating, click on the line of the Rostered Employee you want to record information against. The Rostered Employee to Person We Support Compatibility window will be displayed.
The following fields are available:
- Person We Support – The person receiving care
- Rostered Employee – staff member delivering the care.
- Role – The role the Rostered Employee was preforming when care was delivered.
- Compatibility - You can specify the relationship the Person We Support has with the Rostered Employee:
- Excellent
- Good
- Average
- Poor – Warn
- Bad - Prevent
- Completed Bookings – This number is auto calculated from a scheduled job that runs each evening looking at the completed bookings for the person and Rostered Employee for the time frame specified.
- Notes – Provides the user with a place to enter an additional information regarding the relationship between the Rostered Employee and Person We Support.
Person We Support Compatibility
To enter a compatibility rating, click on the line of the person you want to record information against. The Person We Support Compatibility window is displayed.
The following fields are available:
- Person We Support – The person receiving care.
- Person We Support 2 – The second person who shared the booking with the selected person.
- Compatibility - you can specify the relationship the selected Person has with Person 2:
- Excellent
- Good
- Average
- Poor – Warn
- Bad - Prevent
- Completed Bookings – this number is calculated from a scheduled job that runs each evening which looks at the completed shared bookings for the configured time frame.
- Notes – additional information can be provided regarding the relationship between Person and Person 2.
Rostered Employee Compatibility
A Rostered Employee’s compatibility information can be found under Workplace > Rostered Employees > open a record > Menu > Related Items > Compatibility. Two panels are displayed, one for Rostered Employees that shared a booking experience and the other for People We Support.

To enter a compatibility rating between Rostered Employees, double-click on the employee you want to rate, and the following window is displayed:
The following fields are available:
- Rostered Employee – The rostered employee delivering care.
- Rostered Employee 2 – The rostered employee who shared the booking with the rostered employee selected.
- Compatibility - You can specify one of the following in the compatibility picklist to specify the relationship the Rostered Employee has with the Rostered Employee 2:
- Excellent
- Good
- Average
- Poor – Warn
- Bad - Prevent
- Completed Bookings – This number is calculated from a scheduled job that runs each evening which looks at the completed shared bookings for the Rostered Employee and Rostered Employee 2 for the configured time frame.
- Notes – You can enter additional information regarding the relationship between the Rostered Employee and Rostered Employee 2.

To enter a compatibility rating between Rostered Employees and Person We Support, double click on the Person you want to rate, and the following window is displayed:
- Person We Support – The person receiving care
