Creating Finance Codes

Finance Codes are alphanumeric codes used to categorise and track financial transactions within accounting and finance software systems. These codes help businesses organise their financial data, generate accurate reports, and comply with accounting standards.

To access and create Finance Codes:

  1. Navigate to Settings > Configuration > Finance Admin. The 'Finance Admin' page is displayed.
  2. Expand the Person Contracts section, and select Finance Codes. The 'Finance Codes' page is displayed.
  3. Select the Create new record button on the toolbar.
  4. Complete the fields on the page, mandatory fields are marked with red asterisk *.

Field Logic Type

Finance Code Location*

Select the Location to which the Code will be applicable. The following options are available: 

  • Constant
  • Contract Scheme
  • Organisation
  • Person Id
  • Service / Service Detail or Booking Type
  • Sundries
  • Team

It is important not change this setting after saving and using the record as it will fundamentally change the nature of the record. Only change this setting if the wrong Location has been selected when the record is first created.

Provide a description to help identify the Finance Code. 

This can be changed at anytime.

Text

Code*

Enter the Finance Code value.

This can be changed at any time and will lead to a Finance Code Update trigger being created to ensure this updates the relevant Person Contract Services and Finance Transactions

Alphanumeric

Inactive

When set to No, the record will be active for use.

Yes/No radio button

Responsible Team*

The team responsible for the record.

Selection

 

  1. Select the Save and Close button on the toolbar.
