Open-ended Absences

An open-ended absence is an absence type in which an end date has not been specified. For example, an Employee may be off work for an unknown period of time due to illness.

Creating an Open-ended Absence

  1. Navigate to Settings > Security > System Users.
  1. Open the System User record for whom you want to create the Open-ended Absence.
  2. Select Menu > Employment > Absences.
  1. Select the Create new record button to add a new Absence.
  1. Complete all required data:
  • Location / Provider
  • Booking Type
  • Contract
  • Start Date And Time
  • Comments - add some notes if required
  • Inactive - used to cancel (deactivate) the Open-ended Absence; for example, if it was created in error.
In order to create the Open-ended Absence, the System User must have an active Contract and a Provider must have correctly configured the Booking Type.
  1. If the System User has future Bookings in the Provider Diary with a Booking Type Class other than 'Booking (to internal non-care booking)', these bookings will be automatically deallocated from the System User:
  1. If the System User has future Bookings Type Class 'Booking (to internal non-care booking)' already planned, it will be possible to create the new Open-ended Absence after the last one. The Open-ended Absence can't overlap with the Bookings Type Class 4. The system suggests the correct time.
  1. The newly created Open-ended Absence will be visible on the list of Absences. It's possible to keep only one active Absence without an End date.
  2. When the System User has an active Absence without the End date, information about this is displayed in the account details.

Completing an Open-ended Absence

  1. Open an existing Open-ended Absence.
  1. There are new fields available to indicate the End date and End time. They are unavailable when you create the new Open-ended Absence because the feature is dedicated to noting the absences with an unknown return date.
  1. Choose the date and time when the System User came back from the Absence and save.
  1. Upon saving, existing Bookings in the Provider Diary will be checked against the System User Schedule.

Any unallocated bookings in the Provider Diary that also appear in the System User Schedule will be presented for optional reallocation to the System User. Only those bookings that occur after the end date of the Absence record will be presented.

  1. Select one of the options for reallocation and click OK.
  1. Based on this Open-ended Absence, the one-day-long Bookings Type Class 4 was created. You can review them in the Employee Diary.

Removing an Open-ended Absence Booking

It's not possible to edit or delete these one-day-long Bookings. Instead, you can make one inactive.

  1. Navigate to the related Open-ended Absence then setting Yes in the Inactive attribute.
  1. Once confirmed by clicking OK, all related Bookings will be removed.
