Transport Types

Transport Types allows a Care Provider to configure the distinct types of transport Employees have access to, for example, Bicycle, Car, Motorbike and Walking. This is an optional step allowing Care Providers the flexibility of marking their Rostered Employees with how they are affected by their travel times to the Care Home or in the case of Domiciliary Care, the Service User’s Home. Although Staff transport availability can be captured, no features and validations are currently in use within Care Cloud.



Adding Transport Types

To add a new Transport Type it must be added as a Reference Data record in the following way:

  1. Navigate to Settings > Configuration > Reference Data.

The ‘Reference Data’ page is displayed:

  1. Use the chevron to expand the Care Provider Transport Availability section.
  2. Select the Transport Types option.

The ‘Transport Types’ page is displayed:

  1. Select the Create new record button.

The ‘Transport Type: New’ page is displayed:

Complete the fields on the page. Mandatory fields are marked with a red asterisk *.

  1. Enter the Name in the field provided.
  2. Enter the Code in the field provided.
  3. The Gov Code field should be complete if it is applicable.
  4. You may choose to initially mark this Transport Type as Inactive. By default, its value is set to No. This means the new Transport Type will not be available for selection in the system.
  5. Select the Travel Time Calculation using the drop-down. There are two options available:
  • Average Speed
  • Third Party
  1. Enter the Speed (kmph) in the field provided. Only numeric values up to 4 characters are expected.
  2. Select the Icon using the drop-down. The following options are available:
  • Bicycle
  • Boat
  • Bus
  • Car
  • Flight
  • Motorcycle
  • Other
  • Subway
  • Taxi
  • Train
  • Tram
  • Walking
  1. Enter a Start Date and an End Date or select them using the calendar icon. When the end date is reached, the Transport Type will no longer be a selectable option in Care Cloud. Any historic information with the Transport Type will remain in place.
  2. The Responsible Team is defaulted to the default team associated to your user account. This can be changed by using the Clear Responsible Team button first and then using the drop-down or Lookup Responsible Team magnifying glass to find the required Responsible Team.
  3. By default, Yes is selected for Mileage expense costs apply to this Transport Type. Depending on the Transport Type that is being added or edited, you may change this to No.
  4. A cost is incurred when total journey time exceeds (minutes) indicates that there is additional cost when the specified time in minutes is exceeded.
  5. A cost is incurred when total journey distance exceeds (kilometres) indicates that there is additional cost when the specified distance in kilometres is exceeded.
  6. The Average journey time (minutes) is the length of time taken to get from point A to point B.
  7. Select the Save or Save and Return to Previous Page button on the toolbar to create the Transport Type.
