Release Dates Information: 

Customer familiarisation: 1st of September

Release 6.4.29 is scheduled to be applied to your UAT environment on 1st of September This will give you the opportunity to test and familiarise yourself with the new functionalities before the live release.

Available in Live Date: 8th of September

Release 6.4.29 is scheduled to be applied to the Live environment on the 8th of September.

Mobile App Release Process

A Beta Version of the Mobile App should be used for v6.4.28 UAT from the 1st of September - please e-mail Mark.Thompson@OneAdvanced.com to be given access to this.

The Live Mobile App release will available between the 7th and 8th of September in the Apple and Android Store.

Features

Web Features:

Runs

A major rework of the Runs feature has been undertaken. This includes:

  • Drag and drop of Bookings into and between Runs in the Rostering Schedules
  • Adding new Bookings to Runs and seeing which have available slots at the booking time
  • The same Booking can be shared across multiple Runs
  • Booking Types of Internal Non-Care (eg Breaks) can be added to Runs
  • Filter the Roster Screen by one or many Runs
  • Run Allocation Indicator by Day or All Days (configurable in Scheduling set up > Runs Validation )

In the following release we will introduce additional Run Reporting options and we welcome customer feedback on the requirements for this.

Booking Training Requirements

The Settings > Care Provider Set Up > Training Requirement Setup area has been extended to allow for Bulk validations of Bookings for Training Requirements based on Provider and Person We Support.

The current training validations for Person We Support (on the Person record) and on Booking Types remain unchanged, and Customers can choose to use this and/or the new feature.

You can now choose if the record will be used to validate the Staff Contracts Training Requirements per Role (which has been the sole current use of the feature to this point) or the Booking Validations.

Any records made prior to this release have been set to be for Recruitment and Staff Contracts Training Requirements.

If the new “New Validations To Be Applied For” I set to “Staff Contracts” it will be used Staff Contracts Training Requirements . If is set to “Bookings” it will be used for Bookings validations. 

When ‘Bookings’ is chosen you can now choose to apply the Validations for all or a select group of Providers, or for All People We Support or a select group of People.

When Provider is used any Bookings which are linked to that Provider will have the validation applied.

When People We Support is used then any Bookings with those People assigned to the Bookings will have the validation applied.

In a future release a ‘Booking Type’ exclusion will also be added , so that bookings such as Annual Leave can be excluded from the validation scope.

Annual Leave for Irregular Hours

You can now control, per Employment Contract Type, whether an employee's leave is calculated from the hours they actually work rather than the hours they are contracted to work. This supports UK Government legislation for Zero Hour Contracts and Irregular Hours Workers.

Changes

New field: "Calculated Leave Based On Hours Worked" (Yes/No)

  • Added to the Employment Contract Type 
  • Ships defaulted to No, and all existing Employment Contract Type records are set to No on upgrade
  • Tooltip: "When this is set to 'Yes' the employees leave will be calculated from the hours they work according to UK Government Legislation. This is typically used for Zero Hour Contracts and Irregular Hours Workers."

New field: "When To Add Leave Accrued" (Weekly/Monthly)

  • Added to the Employment Contract Type record
  • Shown and required only when "Calculated Leave Based On Hours Worked" = Yes.
  • Available options are Weekly and Monthly.
  • Tooltip: "This will determine when the leave accrued will be added to the contract, this is typically the last day of the Pay Period. 'Weekly' will apply the leave on the Friday of each week and 'Monthly' on the last day of the month."

When a contract type has Calculated Leave Based On Hours Worked = Yes, its contracts are excluded from the standard contracted/salaried annual leave calculation and instead accrue leave from confirmed worked bookings on the chosen Weekly or Monthly frequency. 

For Bookings to be included in the ‘confirmed worked bookings’ they must have ‘Include In Annual Leave Calculations’ set to ‘yes’ in the Booking Type Record.

Mobile

Attachments

Person Related Attachments of types PDF and Image can now been accessed in the Mobile App. These appear as text and then the user can choose to view them which triggers a download.

This only includes Attachments directly linked to the Person .  For example, attachments linked to the Person’s Care Plan record, are not included.

Attachments that are other formats (such as MP4) will display the title text to inform the user they exists ,  but do not have a view button and can NOT be download to the mobile app.

Filters

Users now have the option to Filter the Booking screen by Provider.

Visit Block Rules

A new ‘Block’ option has been added to Settings > Care Provider Setup >  ‘Mobile Staff Rules’ for the ‘Validate How Early The Carer Can “Start Visit” From The Planned Start Datetime*’ and  ‘Validate How Late The Carer Can “End Visit” From The Adjusted Planned End Datetime*’ conditions.

When ‘Block’ is applied, the Mobile User will not be able to Start or End the Visit outside the Tolerance range. This prevents Actual Start and End Times being set later than the Tolerance by the user , which can result in overpayment depending on Pay Configuration and Company Policy.

If a user is blocked the Booking Start and End Date/Time can still be overridden in the Web App using the edit booking option. Doing so will update the status of the Mobile App booking.

General Enhancements

Web

Edit Commissioned Hours History

Person Contract Commissioned Hours History can now be edited to allow data correction. The new Security Profile ‘Can Edit Commissioned Hours History’ is required for the users to have the edit access

A validation has also been added so that edited dates cannot be in the future

Booking visibility on People Schedule

 "Booking to Internal Activity" (Booking Type Class = To Internal Activity) and Booking to External Activity" (Booking Type Class = To External Activity) bookings now remain visible once staff have been allocated but no person has been allocated yet.

Auto Move of Expenses on Contract End

There is now an option to move the expenses relating to bookings across to the new contract when ending a Person Contract.

Passwords

Customers using the CBM Internal Authentication will now have an additional check on Passwords used to check for known leaked passwords in the public domain. Customers are encouraged to move from CBM Internal Authentication and to instead use the CBM Advanced Identity Authentication, please contact your account manager or the Support Desk to start this process.

API For Diary Booking Update

The Booking Diary Update API is now available.

This can also be used to mark Bookings as Deleted or Cancelled.

Mobile

Edit Saved Records Continuation

The Saved ‘Activities’, ‘Daily Personal Care’, ‘Personal Safety and Environment’ , ‘Conversations’ and ‘Diary records’ can now be edited in the Residential / Bookings to Locations area of the App.

Care Reviews Data Update

The Care Review records which feed from Keyworker Notes , Medication Support and Person Daily Personal Care have had the ‘Care Note’ field contents updated/refreshed as some old records still showed as empty.

The Care Reviews Medication Support Care Note (currently coming from ‘Comments’) will now be sourced from ‘Summary’ , as this is always populated and includes in the ‘Comments’ if populated.

Risk Plans

Risk Plans are now only shown if they have no end date or the end date is in the future.

Risk plans are now shown on Bookings to Locations and in the Residential Area of the App

Field Label Update

Field label for “Problems and Notes” has been updated “General Notes About The Visit - Do Not Use For Care Recording” to encourage users to use the appropriate areas for Care Recording.
